However, many Record-to-Report process activities have been slower to embrace the technology that can not only reduce paper flow and e-mails but also track and facilitate required approvals, reconciliations and reviews.<\/p>\n<p>The trend of moving higher technology to the General Accounting area may be accelerating if recent collaborative activity within the\u00a0 Peeriosity General Accounting Research Area is any indication. A recent Peercast<sup>TM\u00a0\u00a0 <\/sup>on the topic was extremely well attended and highly interactive, with 53% of organizations indicating that they have either implemented workflow technology for their General Accounting activities or have it approved, but not implemented. Only 24% of attendees indicated that they have yet to consider implementation.<\/p>\n<p><a href=\"https:\/\/www.peeriosity.com\/shared-services\/articles\/wp-content\/uploads\/2012\/03\/GA1.jpg\"><img loading=\"lazy\" class=\"aligncenter wp-image-469 size-full\" title=\"GA1\" src=\"https:\/\/www.peeriosity.com\/shared-services\/articles\/wp-content\/uploads\/2012\/03\/GA1.jpg\" alt=\"poll results on the status of using workflow for general accounting at companies\" width=\"415\" height=\"189\" srcset=\"https:\/\/www.peeriosity.com\/shared-services\/articles\/wp-content\/uploads\/2012\/03\/GA1.jpg 415w, https:\/\/www.peeriosity.com\/shared-services\/articles\/wp-content\/uploads\/2012\/03\/GA1-300x136.jpg 300w\" sizes=\"(max-width: 415px) 100vw, 415px\" \/><\/a><\/p>\n<p>For those that have implemented workflow technology for <a href=\"https:\/\/www.peeriosity.com\/shared-services\/articles\/2013\/10\/creating-a-continuous-improvement-program-for-general-accounting\/\">General Accounting activities<\/a>, the results were favorable with all respondents indicating that there was an improvement or that the results were not yet in. In no instances was the response neutral or negative.<\/p>\n<p><a href=\"https:\/\/www.peeriosity.com\/shared-services\/articles\/wp-content\/uploads\/2012\/03\/Ga21.jpg\"><img loading=\"lazy\" class=\"aligncenter wp-image-482 size-full\" title=\"Ga2\" src=\"https:\/\/www.peeriosity.com\/shared-services\/articles\/wp-content\/uploads\/2012\/03\/Ga21.jpg\" alt=\"poll results on the impact of workflow on overall productivity and efficiency in general accounting\" width=\"404\" height=\"216\" srcset=\"https:\/\/www.peeriosity.com\/shared-services\/articles\/wp-content\/uploads\/2012\/03\/Ga21.jpg 404w, https:\/\/www.peeriosity.com\/shared-services\/articles\/wp-content\/uploads\/2012\/03\/Ga21-300x160.jpg 300w\" sizes=\"(max-width: 404px) 100vw, 404px\" \/><\/a><\/p>\n<p>As with all Peeriosity Peercasts<sup>TM<\/sup>, a member company volunteers to lead the discussion and share their experience. The feature company had a successful <a href=\"https:\/\/www.investopedia.com\/terms\/s\/sap.asp\" target=\"_blank\" rel=\"noopener\">SAP<\/a> implementation that initially did not include a General Accounting imaging and workflow solution. The situation in General Accounting was assessed at first by reviewing the state of journal entries and reconciliations as follows:<\/p>\n<ul>\n<li>Journal entry approval was decentralized (and not likely to change).<\/li>\n<li>Ensuring proper approvals on journal entries was tedious and time-consuming<\/li>\n<li>Backup support for journal entries and reconciliations was not stored centrally nor were they digital.<\/li>\n<li>Tracking down supporting documentation was time-consuming.<\/li>\n<li>There was no way of ensuring there was proper support for journal entries or reconciliations.<\/li>\n<li>Shared Services was responsible for insuring over 2,000 accounts and over 40 company codes were being reconciled.<\/li>\n<li>There was no risk assessment assigned to accounts and reconciliations.<\/li>\n<li>Multiple databases were used to manage reconciliations company-wide.<\/li>\n<li>There was no effective way to communicate and enforce timelines for journal entries and reconciliation standards.<\/li>\n<\/ul>\n<p>During the discussion, Peercast<sup>TM<\/sup> attendees agreed that prior to the implementation of any General Accounting imaging and workflow technology, a solid foundation of standards had to be in place and implemented including:<\/p>\n<ul>\n<li>Definitions for standard versus non-standard journal entries<\/li>\n<li>Standard naming conventions<\/li>\n<li>Clear decision and approval rights<\/li>\n<li>Clear roles and responsibilities for each account reconciliation and analysis<\/li>\n<\/ul>\n<p>Our feature company used a combination of third-party software (for reconciliations) that is integrated with SAP, as well as SAP Workflow. They have been very satisfied with the results since implemented it two years ago and gave examples of the user interfaces during the Peercast<sup>TM<\/sup>. Their results are measured in terms of efficiency, quality, and control. Some examples:<\/p>\n<ul>\n<li>Efficiency \u2013 The rate charged to shared services customers for reconciliation services (based on actual costs) has been reduced by 63% over the last two years.<\/li>\n<li>Quality \u2013 Certification statements with supporting documentation are all housed on a single system.<\/li>\n<li>Control \u2013 System-generated real-time compliance metrics (tracks various stages). Currently over 99% compliant.<\/li>\n<\/ul>\n<p>Following the Peercast<sup>TM<\/sup>, the discussion continued within the<a href=\"https:\/\/www.peeriosity.com\/shared-services\/articles\/category\/general-accounting\/\"> Peeriosity General Accounting Research Area<\/a> with a member company inquiring specifically about automated solutions for the inevitable manual entries that are required at month-end.
