{"id":4249,"date":"2020-04-16T18:58:52","date_gmt":"2020-04-16T18:58:52","guid":{"rendered":"https:\/\/www.peeriosity.com\/shared-services\/articles\/?p=4249"},"modified":"2022-08-24T15:51:27","modified_gmt":"2022-08-24T15:51:27","slug":"work-from-home-expense-policies","status":"publish","type":"post","link":"https:\/\/www.peeriosity.com\/shared-services\/articles\/2020\/04\/work-from-home-expense-policies\/","title":{"rendered":"Work-From-Home Expense Policies"},"content":{"rendered":"\r\n<p style=\"font-size: 14px;\"><strong>Introduction<\/strong><\/p>\r\n\r\n\r\n\r\n<p style=\"font-size: 14px;\">As companies implement work from home measures for employees in <a href=\"https:\/\/www.peeriosity.com\/shared-services\/articles\/2020\/03\/responding-to-the-covid-19-pandemic\/\">response to COVID-19<\/a>, many are considering relaxing in-office work requirements and allowing more work from home as a normal course of doing business after the requirements created by the pandemic subside.\u00a0 With high-speed internet services at home being the norm for many employees already, the question is how much, if any, are companies reimbursing for internet and office supply expenses for an increasingly <a href=\"https:\/\/www.investopedia.com\/hybrid-office-5200246\" target=\"_blank\" rel=\"noopener\">remote workforce<\/a>?<\/p>\r\n\r\n\r\n\r\n<p style=\"font-size: 14px;\"><strong>iPolling<sup>TM<\/sup> Results Review<\/strong><\/p>\r\n\r\n\r\n\r\n<p style=\"font-size: 14px;\">Peeriosity\u2019s iPolling<sup>TM<\/sup> was used recently by the Director of GBS Strategy at a Peeriosity member company to understand what types of expenses other member companies reimburse for employees who work at home.\u00a0 Here is the background provided with the poll:<\/p>\r\n\r\n\r\n\r\n<p style=\"font-size: 14px;\"><em>Our company plans to offer some GBS employees the option to work from home permanently for those <a href=\"https:\/\/www.peeriosity.com\/shared-services\/articles\/2022\/01\/is-virtual-the-future-for-shared-services-gbs\/\">jobs that can be done remotely<\/a> after the pandemic. We plan to provide colleagues with the necessary equipment (PC, monitors, peripherals). We are interested to learn how other companies handle home office expenses such as internet and office supplies for remote workers.<\/em><\/p>\r\n\r\n\r\n\r\n<p style=\"font-size: 14px;\">The first question in the poll asked about how the company handles internet expenses under normal business conditions (the standard policy before the pandemic).\u00a0 For 82% of member companies, the cost of the internet connection is the employee\u2019s responsibility.\u00a0 For 12% of member companies, the employee is given a monthly stipend (a regular fixed amount), and for the remaining 6% the employee is able to submit for reimbursement.<\/p>\r\n\r\n\r\n\r\n<figure class=\"wp-block-image\"><img loading=\"lazy\" class=\"alignnone wp-image-4250\" src=\"https:\/\/www.peeriosity.com\/shared-services\/articles\/wp-content\/uploads\/2020\/04\/image-2.png\" alt=\"how does your company handle internet expenses before the pandemic\" width=\"663\" height=\"404\" srcset=\"https:\/\/www.peeriosity.com\/shared-services\/articles\/wp-content\/uploads\/2020\/04\/image-2.png 663w, https:\/\/www.peeriosity.com\/shared-services\/articles\/wp-content\/uploads\/2020\/04\/image-2-300x183.png 300w, https:\/\/www.peeriosity.com\/shared-services\/articles\/wp-content\/uploads\/2020\/04\/image-2-492x300.png 492w\" sizes=\"(max-width: 663px) 100vw, 663px\" \/><\/figure>\r\n\r\n\r\n\r\n<p style=\"font-size: 14px;\">The second polling question asked about how expenses for office supplies are handled.\u00a0 While 34% of companies do not reimburse for office supplies, the balance of 76% has a process where the employee can either get the supplies they need or where are reimbursed for the office supplies that they purchase. Here are the details:<\/p>\r\n\r\n\r\n\r\n<figure class=\"wp-block-image\"><img loading=\"lazy\" class=\"alignnone wp-image-4251\" src=\"https:\/\/www.peeriosity.com\/shared-services\/articles\/wp-content\/uploads\/2020\/04\/image-3.png\" alt=\"how are office supplies or disposable costs handled before the pandemic (work from home expense policies)\" width=\"663\" height=\"403\" srcset=\"https:\/\/www.peeriosity.com\/shared-services\/articles\/wp-content\/uploads\/2020\/04\/image-3.png 663w, https:\/\/www.peeriosity.com\/shared-services\/articles\/wp-content\/uploads\/2020\/04\/image-3-300x182.png 300w, https:\/\/www.peeriosity.com\/shared-services\/articles\/wp-content\/uploads\/2020\/04\/image-3-494x300.png 494w\" sizes=\"(max-width: 663px) 100vw, 663px\" \/><\/figure>\r\n\r\n\r\n\r\n<p style=\"font-size: 14px;\">Here are some comments from responding companies:<\/p>\r\n\r\n\r\n\r\n<ul class=\"font-14\">\r\n<li><em>If the remote worker works in the area, they pick up supplies in the office. If the distance remote workers, we order through the company&#8217;s online office supply catalog and deliver to the employee&#8217;s home address.<\/em><\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n<ul class=\"font-14\">\r\n<li><em>Certain states (i.e. CA) have stricter laws regarding work-from-home expenses but in general, we expect the employee to provide their own internet access and the employer provides the necessary supplies and equipment.<\/em><\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n<ul class=\"font-14\">\r\n<li><em>Working from home is a privilege at the cost of the employee. Limited amenities are provided by the company. Keyboard, mouse, or spare monitors have been provided but not as a general rule.<\/em><\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n<ul class=\"font-14\">\r\n<li><em>For office supplies employees can also purchase themselves and be reimbursed for those expenses.<\/em><\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n<ul class=\"font-14\">\r\n<li><em>For staff that work remotely at the company&#8217;s direction, a stipend is paid. For staff who work remotely voluntarily, no stipend is paid.<\/em><\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n<ul class=\"font-14\">\r\n<li><em>Costs are primarily the responsibility of the employee.
